The Vaccine Speakers Bureau Platform is a digital solution developed for the Global Medical Affairs team in Vaccine Business Unit, designed to facilitate and manage the engagement of expert speakers (HCPs and KOLs in vaccinology and infectious diseases) for educational events related to our dengue vaccine. The Speakers Bureau platform serves as a bridge between Takeda Vaccine Business Unit, healthcare professionals (HCPs),key opinion leaders (KOLs), and expert speakers, streamlining the process of identifying, booking, training, and coordinating speaker engagements.

Speakers Bureau platform was created with the following key objectives:

  • To support the delivery of high-quality, evidence-based education to HCPs through access to leading experts in the field of vaccinology.
  • To create a centralized system for managing a database of expert speakers, including their expertise, availability, and engagement history.
  • To facilitate speaker training, identification, and engagement bookings.
  • To ensure that all speaker engagements comply with relevant regulations and internal policies, and to improve the efficiency of the speaker engagement process.

Requirements Gathering and Planning
Collaborated with the Vaccine Business Unit, Medical Affairs, and Compliance teams to gather detailed requirements and define the platform's scope.

Platform Design and Development
Partnered with a technology vendor to design and develop the platform, ensuring a user-friendly interface, robust functionality, and scalability.

Speaker Onboarding
Developed a process for identifying, vetting, and onboarding expert speakers to the platform, including the creation of speaker profiles and the collection of necessary documentation.

Testing and Validation
Conducted rigorous testing of the platform to ensure its functionality, reliability, and compliance with all requirements.

Training and Launch
Developed training materials and conducted training sessions for Takeda teams, HCPs, and speakers to ensure effective use of the platform.

Ongoing Management and Support
Established processes for ongoing platform maintenance, user support, and content updates.

The Speakers Bureau platform has reduced the administrative burden and save time for Takeda medical teams and HCPs by streamlining speaker management, training, and booking processes. The platform's long-term vision is to integrate compliance tools enhancing adherence to regulatory and internal policies, thereby minimizing risks associated with speaker engagements.
